Position Overview

As an Executive Assistant, you will be an integral team member, collaborating with the presidents to manage client needs, assist with projects, and perform day-to-day office needs. The Executive Assistant will specifically support the president and vice president positions in the Denver office by participating in client and project conference calls as well as taking notes; managing project calendars; communicating with clients and ERO staff, as directed; and assisting with monthly time logs and invoicing.

Responsibilities

The Executive Assistant would work directly with the president and vice president in the Denver office. This is a 40-hour per week position and is hybrid, meaning the position can be performed by working either in the office or from home. The person in this position is expected to conduct themselves in a professional manner in all work settings, representing ERO with respectful, courteous behavior and a positive workplace attitude. This position will assist presidents with managing projects, clients, and other duties, as assigned.

Expected Duties

As an Executive Assistant, you will perform a variety of secretarial and administrative duties for the Denver office:

  • Data entry for project management, invoicing, and expenses.
  • Proactively manage complex calendars with attention to accuracy and detail as well as the allocation of time to promote productivity, recognizing the need to re-prioritize, as appropriate.
  • Arrange detailed travel plans and itineraries.
  • Maintain basic office supplies, including stocking snacks, and assisting with equipment maintenance, as needed.
  • Ensure that expense reports are accurately and efficiently completed.
  • Manage and partner with all appropriate stakeholders, as needed, in the planning and execution of in-office or on-site meetings.
  • Prepare meeting materials and agendas and participate in, prepare, and distribute meeting notes.
  • Proactively request information and actions on behalf of division leaders and ensure that these requests are fulfilled efficiently and effectively before deadlines.
  • Understand business priorities and identify process improvements to create efficiency.
  • Demonstrate initiative, discretion, and tact in managing emails, telephone calls, and other requests.
  • Prepare correspondence that is accurate, complete, and properly handled.
  • Use Microsoft Office Suite and other software for project management.
  • Communicate with the president and vice president to effectively prioritize tasks during nonroutine situations.
  • Perform additional special assignments, as required.
  • Help organize, structure, and order written content for project and proposal managers.
  • Assist with and direct development of mail merge documents/management of mailing lists
Skills, Abilities, and Requirements
  • Proficiency with Microsoft Office Suite, especially Word, Xcel, and Adobe Acrobat.
  • Ability to learn ERO’s project management platform (Ajera).
  • Ability to prioritize and multitask between two principals.
  • Extraordinary attention to detail, accuracy, and organization.
  • Effective collaboration with individuals across the company.
  • Demonstrated ability to maintain confidential information and ethical practices.
  • Ability to collaborate with cross-functional teams throughout the company.
Minimum Education and Experience
  • High school diploma or GED preferred.
  • 1 to 3 years of experience performing similar job duties.

  • Hourly position with a pay range of $24.00 to $30.00 per hour, commensurate with experience.
